Tools I Use as a Business Analyst (And Why They Matter)
Behind every data-backed decision is a toolkit that makes the magic happen. When I first stepped into the world of Business Analysis, I was overwhelmed by the number of tools out there. But over time, I realized — you don’t need all the tools. You just need the right ones.
Here’s a breakdown of the tools I use day-to-day and why they’re essential to my work.
💻 1. Excel / Google Sheets
The OG of data handling.
From quick data clean-ups to creating pivot tables, Excel is the fastest way to get insights when you’re on a tight deadline.
I use it for:
- Quick analysis and calculations
- Cleaning raw data
- Building simple dashboards
- Validating data dumps
🔍 2. SQL (Structured Query Language)
If data lives in a database, SQL is how you talk to it.
This is where I dig into huge datasets and extract exactly what I need.
I use it for:
- Writing queries to pull data
- Joining multiple tables
- Filtering large datasets in seconds
- Automating recurring reports
At Swiggy, this helps me navigate databases with millions of records and answer questions that drive real decisions.
📊 3. Power BI / Looker Studio
Dashboards aren’t just pretty—they’re powerful.
They help stakeholders see the story behind numbers.
I use it for:
- Creating interactive dashboards
- Visualizing trends and KPIs
- Sharing insights with non-technical teams
- Making data storytelling easier
🧰 4. Jira + Postman + Slack (for Collaboration & Reporting)
Modern BA work is collaborative. I often use:
- Jira to track tasks and document requirements
- Postman to test APIs
- Slack for async updates and team discussions
These tools help me stay organized and communicate clearly across remote teams.
🧠 5. PowerPoint + Canva
Because insights mean nothing if you can’t communicate them.
Visual storytelling is key when presenting to decision-makers.
I use them to:
- Design pitch decks and strategy slides
- Summarize findings
- Build clean, visual narratives
💬 My Take:
The best tool is the one that helps you explain why something happened — and what should happen next.
Whether it’s Excel for quick wins, SQL for depth, or Power BI for dashboards — every tool I use helps make data useful and actionable.
✨ Tip for Beginners:
Start with one or two tools. Don’t try to master everything at once.
Excel + SQL or Excel + Power BI is a powerful combo to begin with.
