Stakeholder Communication – What No One Teaches You

When I first entered the analytics world, I thought learning tools like Excel, SQL, and Power BI would be enough. But I quickly realized there’s one skill no one really emphasizes—communication with stakeholders.


And trust me, mastering this can make or break your impact as a Business Analyst.


🧠 What Makes Stakeholder Communication So Crucial?

Stakeholders aren’t just clients—they’re decision-makers, managers, ops heads, marketing leads, and more. They come from non-tech backgrounds and have one goal: to get answers that help them make decisions fast.

That’s where you, as a BA, step in.


💡 Key Lessons I’ve Learned:

Speak Their LanguageAvoid jargon. Translate data insights into business terms.
Listen FirstUnderstand the real problem before jumping to solutions.
Clarify the AskRepeat what they said in your own words to confirm scope.
Tailor VisualsUse simple charts or tables that suit the stakeholder’s role (execs love dashboards; ops prefer tables).
Overcommunicate TimelinesSet expectations—especially for dependencies or potential blockers.
Keep It ConciseLong reports confuse; short and focused updates win trust.

🛠 Real-Life Example:

During my project at Swiggy, we were analyzing peak time gig worker allocation. A regional ops manager kept asking for a “cleaned report.” Instead of jumping to clean the raw sheet blindly, I asked:


“What’s the actual issue you’re facing with the report?”
Turns out, he just needed the count of underpaid orders due to shift overlaps. I created a filter-enabled summary table using Excel and shared a weekly update. Simple need, high impact.


My 3-Step Communication Checklist:

  1. Understand the Persona – Exec? Ops? Finance? Tailor accordingly.
  2. Break It Down – Use analogies or stepwise storytelling.
  3. Close the Loop – Follow up even after the delivery to see if the solution worked.

The most advanced tool you’ll ever use is your voice—paired with clarity and empathy. Master that, and every stakeholder becomes your ally.
